Tables: cells, typing and formatting

Insert a table, pick cells, type with a double click and format each cell; turn a table into a chart.

Available on Free, Pro, and BusinessUpdated November 8, 2026

Tables are real tables: in the editor and in the PowerPoint file. You can format single cells or the whole table.

Steps

  1. 1Open Insert → Charts and tables and click Table. Its arrow offers sizes such as 3×3 or 5×4.
  2. 2Click the table, then click a cell to pick it. Shift-click or drag to pick several.
  3. 3Double-click a cell, or press Enter, to type. Tab moves to the next cell; in the last cell it adds a row.
  4. 4Use the toolbar on the picked cells: text size, Table text colour, bold and alignment. With no cell picked, it formats the whole table.
  5. 5Add row, Add column and Header row change its build; Edit table opens its data.

Good to know

  • A table you insert goes onto a new slide of its own; switch this off under Settings → General → New slide for charts and tables.
  • Delete empties the picked cells; Escape lets them go.
  • A cell shows up to three lines of text.
  • Change chart type turns a table into a chart, and back.
